Overview

These terms apply when you download or use the BJJ Notes mobile application, when you use the BJJ Notes Gyms web portal (academy management tools at bjjnotes.app/gyms), or when you otherwise use our related websites and services (together, the "Service"). Please read them carefully before using the Service. You are not allowed to copy or modify the Service, any part of the Service, or our trademarks in any way. You are not allowed to attempt to extract the source code of the Service, and you also should not try to translate the Service into other languages or make derivative versions. The Service itself, and all the trademarks, copyright, database rights, and other intellectual property rights related to it, still belong to 4BK Software LTDA.

4BK Software LTDA is committed to ensuring that the Service is as useful and efficient as possible. For that reason, we reserve the right to make changes to the Service or to charge for its features, at any time and for any reason. We will never charge you for the Service or its paid features without making it very clear to you exactly what you are paying for.

BJJ Notes Gyms Web Portal

The Gyms Portal helps academies manage operations such as groups, student and coach rosters, attendance, promotions, class libraries, engagement insights, and related tools. Access may require an account, trial, or paid subscription.

If you create or manage an academy account, you represent that you are authorized to act for that academy. You are responsible for the accuracy of the information you enter, for keeping login credentials secure, and for how your staff use the portal.

Student and third-party data:When you upload or manage information about students, coaches, visitors, or other individuals, you are the controller of that information for your academy's purposes. You must have a lawful basis to process it and must provide any required privacy notices. BJJ Notes processes that data to provide the Gyms Portal features you use and as described in our Privacy Policy.

Waivers and operational records: Features such as liability waivers, attendance, and promotions are tools to help your academy operate. They do not replace legal advice, insurance requirements, or your own academy policies. You remain responsible for compliance with local laws and for decisions you make using the portal.

AI-Powered Features and Limitations

BJJ Notes includes artificial intelligence features designed to help you reflect on your training. These features include training summaries, weekly and monthly recaps, game style analysis, and reflective insights.

Understanding AI outputs: All AI-generated content is informational and educational only. AI outputs are based on the data you provide and are intended to support your personal reflection—not to replace your own judgment or professional guidance.

Limitations: AI-generated insights may be incomplete, imperfect, or not fully applicable to your situation. The AI does not score, rank, or predict your performance. It does not make decisions on your behalf.

Non-reliance: You should not rely solely on AI-generated content for training decisions, health matters, or any other important choices. Always use your own judgment and consult qualified professionals when appropriate.

No Medical or Professional Advice

BJJ Notes is a training journal application. It is not a medical service, coaching service, or fitness prescription tool.

The app does not provide medical advice, diagnosis, or treatment recommendations. Any injury information you record is for your personal journaling purposes only.

If you have health concerns, injuries, or questions about your physical training, please consult a qualified healthcare professional, certified coach, or other appropriate expert.

User Responsibility and Assumption of Risk

Brazilian Jiu-Jitsu and other martial arts training involve inherent physical risks, including the risk of injury. You are solely responsible for your own training decisions and physical safety.

BJJ Notes does not supervise, direct, or control your physical training activities. The app is a journaling tool that helps you record and reflect on your training—it does not instruct you on how to train or what techniques to perform.

By using this app, you acknowledge that you understand these risks and accept responsibility for your own training choices.

Data Storage and Security

The BJJ Notes Progress Tracker App stores and processes personal data that you have provided to us, to provide our Service. It is your responsibility to keep your phone and access to the app secure. We therefore recommend that you do not jailbreak or root your phone, which is the process of removing software restrictions and limitations imposed by the official operating system of your device. It could make your phone vulnerable to malware/viruses/malicious programs, compromise your phone's security features and it could mean that the BJJ Notes Progress Tracker App will not work properly or at all.

Limitations of Liability

You should be aware that there are certain things that 4BK Software LTDA will not take responsibility for. Certain functions of the app will require the app to have an active internet connection. The connection can be Wi-Fi or provided by your mobile network provider, but 4BK Software LTDA cannot take responsibility for the app not working at full functionality if you do not have access to Wi-Fi, and you do not have any of your data allowance left.

If you are using the app outside of an area with Wi-Fi, you should remember that the terms of the agreement with your mobile network provider will still apply. As a result, you may be charged by your mobile provider for the cost of data for the duration of the connection while accessing the app, or other third-party charges. In using the app, you are accepting responsibility for any such charges, including roaming data charges if you use the app outside of your home territory (i.e. region or country) without turning off data roaming. If you are not the bill payer for the device on which you are using the app, please be aware that we assume that you have received permission from the bill payer for using the app.

Along the same lines, 4BK Software LTDA cannot always take responsibility for the way you use the app i.e. You need to make sure that your device stays charged – if it runs out of battery and you cannot turn it on to avail the Service, 4BK Software LTDA cannot accept responsibility.

With respect to 4BK Software LTDA's responsibility for your use of the app, when you are using the app, it is important to bear in mind that although we endeavor to ensure that it is updated and correct at all times, we do rely on third parties to provide information to us so that we can make it available to you. 4BK Software LTDA accepts no liability for any loss, direct or indirect, you experience as a result of relying wholly on this functionality of the app.

Limitation of Liability for AI Outputs

To the maximum extent permitted by applicable law, 4BK Software LTDA shall not be liable for any direct, indirect, incidental, special, consequential, or punitive damages arising from your use of or reliance on AI-generated content within the app.

This includes, but is not limited to, any actions you take based on training summaries, insights, recaps, or other AI-generated outputs. You acknowledge that AI outputs are informational tools and that any decisions you make based on them are your own responsibility.

We do not guarantee the accuracy, completeness, or applicability of any AI-generated content to your specific circumstances.

Updates and Termination

At some point, we may wish to update the Service. The mobile app is currently available on Android and iOS. The requirements for those systems (and for any additional systems we decide to support) may change, and you may need to download updates to keep using the app. The Gyms Portal is a web service that we may update continuously. 4BK Software LTDA does not promise that it will always update the Service so that it is relevant to you and/or works with every device or browser version you use. However, you agree to accept updates when offered. We may also wish to stop providing all or part of the Service, and may terminate use of it at any time without giving notice of termination to you. Unless we tell you otherwise, upon any termination, (a) the rights and licenses granted to you in these terms will end; (b) you must stop using the Service, and (if needed) delete the mobile app from your device.

Changes to Terms and Conditions

We may update our Terms and Conditions from time to time. Thus, you are advised to review this page periodically for any changes. We will notify you of any changes by posting the new Terms and Conditions on this page.
