Best Jiu-Jitsu Software for BJJ Gyms (2026): Academy Ops Plus Training Follow-up
Last updated: September 12, 2026
BJJ Notes for Gyms is academy software built for Jiu-Jitsu. Roster, waivers, check-in, tuition, groups, class library, belt and stripe ceremonies. Students do not need to log into the BJJ Notes app for any of that. Kids, walk-ins, and anyone who never downloads still sit on the roster, check in from a QR poster or a totem, pay, and get promoted.
The extra: when a student does use BJJ Notes, the coach gets a technical follow-up of their training. Logs, techniques, belt journey, engagement from real work on the mat. Generic gym tools stop at "was the student here" and "did the card clear." Their student apps are membership cards. Ours is a training journal that also checks in.
We make this product. Try it, then decide if it fits your room.
What you run every week
- Roster and waivers. One student record, including people who will never open an app. Signed PDF on the file.
- Attendance. Front desk, totem, QR poster, roll call, or the phone. Coaches confirm the class. The week stays after the paper would have disappeared.
- Tuition. Plans, who is current, who is late. Stripe Connect on your academy account, 0% software cut. PIX and boleto through Asaas in Brazil.
- Belt and stripe. A grading day you can run: kids belts, time-in-grade, IBJJF-style rules you can edit, a list you print and apply to the roster. Muay Thai armbands in the same gym.
- Groups and curriculum. Classes on a schedule, coaches assigned, a library you share with the academy.
That is the product. The student app is not a gate. It is the layer on top for students who want a log, and for coaches who want to see what those students are actually training.
What the student journal adds
A failed card is a late signal. A quiet training log is an earlier one. When a student journals, the coach sees technique notes, session history, months and trainings toward the next rank, and Active / Attention / Inactive from approved attendance plus real logs.
Many students never install anything. The academy still runs. The ones who do give you a technical picture a membership card cannot invent.
You do not force an app to open the gym
Check-in comes from a QR poster, a front-desk totem, coach roll call, or the phone. Kids stay on the roster without an account. Engagement is read from approved attendance, not only from a declined card.
We started as the student journal and built the academy portal on top. That history is why the training layer exists. It is not a requirement to open the gym in the morning.
Built for Jiu-Jitsu, ready for the rest of the room
Storing a belt color is not the same as running a grading day. BJJ Notes is native on belts, stripes, kids, and ceremony lists. The same roster and check-in cover Muay Thai, boxing, MMA, and wrestling groups. Rank ceremonies exist for BJJ and Muay Thai. Other arts run on attendance.
Eligibility today is approved check-ins in a window, plus months at belt. We do not yet gate a stripe on "10 guard classes." The class library is a program you share. It is not yet wired to positional blocks on the timetable.
Your processor. Zero software cut.
A transaction fee is normal. Stripe and Asaas charge one. BJJ Notes does not insert itself as the processor or stack a markup on tuition. On 80 students at $150, a couple of extra percent every month is real money. You keep that.
Cash write-off exists on Asaas today, not yet on Stripe. If the desk is mostly cash, ask that in setup.
Who it is for
- Owners and coaches who want one place to run the week: who trains, who pays, who is up for a stripe.
- Academies that will keep students who never install anything, and still want a deeper view of the ones who journal.
- Rooms that already teach more than one art and need BJJ ceremonies plus Muay Thai armbands in the same roster.
- Academies in any country. Card on your Stripe account. PIX and boleto when you need them.
It is not a student-only product. It is not "for gyms whose members already live in the BJJ Notes app." The portal is the academy. The app is the optional technical layer.
The trial is 14 days, self-serve, from $49. Essential $49 (50 students), Growth $97 (200), Scale $197 (unlimited, one location). Every feature is on every plan. If it fits, you stay. If it does not, you leave. That decision is yours.
Questions, answered
What is the best gym software for a BJJ academy?
BJJ Notes for Gyms: the operational job (roster, check-in, billing, promotions) plus technical follow-up of student training when they use the app. Start the trial and decide from your own room.
Do students have to install an app?
No. Check-in works from a QR poster, a front-desk totem, or coach roll call. Kids and walk-ins stay on the roster without an account. The app is there when the student wants a log and belt progress, and when the coach wants to see that work.
How much does it cost?
From $49/mo for up to 50 students, every feature included. We take 0% of tuition on Stripe. A processing markup on 80 memberships dwarfs most software fees. We do not add one.
Does BJJ Notes only work for Jiu-Jitsu?
The student journal is strongest in BJJ. The academy portal runs Jiu-Jitsu, Muay Thai (armbands), boxing, MMA, and wrestling groups in the same gym. Rank ceremonies exist for BJJ and Muay Thai. Other arts run on attendance.
Can I keep my own payment processor?
Yes. Stripe Connect, 0% software cut. Brazil can also collect through Asaas.
